EVESYS: MAIN FEATURES
EveSys is an Events Manager System suitable for any organisations involved in setting up conferences, conventions, or general events and is designed to permit the organisers to maintain all the kinds of records associated with these events.
It allows the creation of Events and associated Subevents, and manages registrations, including conference dinners and literature. Although not strictly a full accounts package, EveSys will invoice registrants and show an account payment history.
EveSys is equipped for multiple currency (including the Euro) and multinational VAT rates.
It will help if you think of Events Manager as comprising several sections:
Your Individuals Data
Full details of all your individual customers,
clients, registrants, attendees and exhibitors can be kept on EveSys. You decide
what to keep and how to describe what you keep.
Persons a full list of your individual contacts of any
kind, and their addresses (current and historical), telecommunications, links
with organisations, their interests and roles, and their transaction records
with your company.
Your Organisations Data
Organisations a full list of
your organisational and institutional contacts of any kind, and their addresses
(current and historical), telecommunications, roles, and their transaction
records with your company.
Your Events Data
Events a full list of events
which you may stage, with their class, type, dates, venue, prices, individual
roles (e.g. organising committee), and chargeable extras (e.g. dinners).
Subevents a list of events which are linked to a main
event, such as an exhibition staged as part of a conference. Subevents can have
all the attributes listed for events, but they may also have subevent facilities
(e.g. exhibition stands or spaces) which may themselves have prices and may be
booked by individuals or organisations.
Your Bookings
Event Bookings a list of
individuals or organisations associated with an event. After booking, you may
select prices and discounts for attendance, and for event extras. Charges and
payments may be posted to the finance ledger.
Subevent Bookings a list of individuals or organisations associated with a subevent, as given for event bookings, but including bookings of facilites, such as exhibition stands and space.
Miscellaneous Codes
Wherever possible, EveSys is "soft
coded" so you you can decide how you organise the data which you keep on
individuals, organisations and events.
A set of user-defined codes cover a great many aspects of the system, such as Address Type, Employee Role. For example, if a new type of telecommunications address becomes available, you can easily create it.
Reference Data
Some data used in the infrastructure of EveSys may
change over time. The Reference Data option enables you to cope with this. For
example, as EveSys is designed for international use, you can create
"sets" of monetary exchange relationships, and amend each member value
as it fluctuates. These values are then used to convert prices between
currencies. Also, international VAT rates may change form time to time: EveSys
enables you to keep these changes up-to-date.
Reports and CSV Extracts
EveSys will readily produce most reports that are
necessary for analysis and reporting. These include Summary and Detailed reports
on Individuals, Organisations and Events. You can pull down lists of items by
which to select the data shown, and you can select which attributes are required
in the report or extracts.
CSV files ("comma separated values") can be used with most database and spreadsheet applications as a means of transferring data into suitably prepared spreadsheets or databases on other systems and for mailmerge in your word processor.

EveSys Event Manager
is available as a single PC, single user system, and as a Networked Multi-user
system with licences issued in groups of four.
More than eight simultaneous users in Access is likely to degrade performance
significantly.
EveSys Events Manager
runs on Microsoft® Windows® 9x/ME/NT/2000/XP and requires Microsoft® Access® 2000/2002(XP)/2003.
NOTE: If you intend to run EveSys on Access 2003 you must apply
the Office 2003 service pack SP1 before installation.
EveSys is a large system and a well specified workstation and network is advised.
